Forms to submit after successful Erasmus+ application
To receive the first installment of your Erasmus grant, you must complete the mandatory steps in Mobility Online and upload all required documents. Applicants must use the forms provided by the Department of International Affairs.
Before your stay
- After acceptance by the partner university, enrollment at the host university begins. If applicable, you may also apply for a dormitory room.
- The enrollment certificate from Universität Hamburg for the duration of your mobility must be uploaded to the database

Top-Ups for students with fewer opportunities
If any of the following apply, confirm it in your workflow. Print the declaration on honour generated in your workflow, sign it, and upload it again. Eligible students receive an additional €250 per month. Even if several criteria apply, the top-up is granted only once.
- students with children
- students with a disability (degree of disability of 20 or above)
- students with chronic illnesses
- students from non-academic households
- working students who must interrupt or end their employment due to their mobility
- students whose additional costs significantly exceed the lump sum (e.g., due to physical limitations or childcare) may apply for reimbursement of actual costs; this application must be submitted at least two months before the start of the stay.
Travel allowance
- Students using standard air travel receive a travel allowance automatically calculated based on geographic distance and paid with the first installment.
- Students undertaking green travel (up to 4,000 km), meaning more than 50% of the journey is made using sustainable transport (train, bus, car-share, bicycle, walking), may apply for a higher travel allowance and up to 6 additional travel days.
- Print, sign, and upload the sworn declaration for green travel if applicable.
- Additional option "Expensive Travel": Students who qualify for green travel may also apply for reimbursement of actual higher travel costs if the standard travel allowance covers less than 70% of sustainable travel expenses. In such cases, up to 80% of actual costs can be reimbursed. Applications must be justified by the applicant and approved by the National Agency. Required documentation must be submitted at least one month before departure to: erasmus.coordination"AT"uni-hamburg.de.
You can find a detailed explanation of the various top-ups on the website Additional funding in the Erasmus+ programme.

- After uploading the Confirmation of Stay (Part I), the first instalment (70% of the total grant) will be paid out. If you make any changes or additions to your course selection, please enter them in the Learning Agreement for Studies Part II: During the Mobility. Course changes can be entered up to 5 weeks after the beginning of the stay.
- Sign your Confirmation of Stay (Part II) on the last day of your academic stay (last day of classes, last exam date, submission of your term paper, etc.) at your host university and upload this document to the database.
After you stay
-
Upload the fully completed Confirmation of Stay (Part I and Part II) to the database.

-
Also complete the free-form experience report and upload it to the database (not mandatory for all faculties).
-
As soon as you receive the Transcript of Records from your host university, upload this document to the database as well.
As soon as you have submitted all required documents and filled in the online EU survey, your second grant installment will be paid.
