Conference Management and Lecture Hall Allocation Unit

We are the first port of call for members of the University of Hamburg planning to hold a conference at the University. What we can do for you:

• We help you find a suitable space and make the appropriate room bookings.
• We put you in contact with members of the University Administration who can advise and support you on the financial and tax-related aspects of your conference.
• If you plan to hold your conference in collaboration with third parties, we can help you draw up the appropriate cooperation contracts.
• We advise you on any legal issues pertaining to your event, including your rights, duties, and responsibilities.
• Where necessary, we put you in contact with framework contract partners and our regular service partners, who can help you stage your conference.
• Should you need technical support, we can provide you with technical staff who will be on hand throughout your event. Any other technical equipment you require can be provided by our framework contract partners.
• If you require catering, we will be happy to discuss the various possibilities with you and provide you with appropriate contact details on request.
• We establish the necessary health and safety measures for your conference with regard to the relevant facilities.
• We coordinate any special opening times or security provision with you, should your event require them.
• Where necessary, we can also arrange extra cleaning services for the conference rooms. We look forward to advising you and taking care of your conference needs.

If you are a student or employee of the University of Hamburg, we will be delighted to help you with your project, whether you

• need to book a seminar room or lecture hall for a special event;
• are planning a joint event with an external third party;
• wish to book a room for an AStA event, a departmental student representative committee meeting, or a student group;
• need to request an extension to the usual building opening hours for your event; or
• would like to use an outside area or foyer space.

The centrally administered lecture halls include those in the Main Building (Edmund-Siemers-Allee 1), in the Audimax (Von-Melle-Park 4), in the Faculty of Education building (Von-Melle-Park 8) and in Überseering 35.

If you would like to book a seminar room or a non-centrally administered lecture hall, please contact the front office of the relevant institute. You can also view and make a booking request for non-centrally administered rooms via STiNE.

Submit your request for rooms or spaces to the Conference Management and Lecture Hall Allocation Unit (veranstaltungsplanung"AT"uni-hamburg.de) at least 4 weeks prior to the planned event.

If you are not a member of the University and would like to rent a room or area for an event, we would be delighted to assist you.

• We can advise you on suitable campus rooms, check availability, give you a quote, and make your booking.
• In general, there are no obligatory catering services on the University’s premises. If you require catering, we will be happy to discuss the various possibilities with you and provide you with appropriate contact details on request.
• Should you need technical support, we can provide you with technical staff who will be on hand throughout your event. Any other technical equipment you require can be provided by our framework contract partners.
• Where necessary, we put you in contact with additional framework contract partners and our regular service partners, who can help you stage your event.
• We coordinate any special opening times or security provision with you, should your event require them.
• Where necessary, we can also arrange extra cleaning services for the conference rooms. We look forward to advising you and taking care of your conference needs.
