Doctoral procedure at the department biology after the new doctoral degree regulations

(for the old doctoral degree regulations see below)


Short instruction for the administrative procedure for a doctorate

1. Apply for admission to a doctorate at the beginning of the doctorate proceedings.

Application for admission should be submitted before the work contract or scholarship agreement is signed.

Online application for admisstion here. Applicants should first apply for an account in 'Docata' and then fill out the application form online.

Print out and sign the application. It should also carry the signature of your supervisor. Then send it to Frau Sült-Wüpping or submit to the Academic Office Biology (Studienbüro Biologie), together with an outline of the research project (link to form), the supervision agreement (link to form) and all supporting documents (i.e. transcripts of certificates and proof of qualification, recognition of qualifications and diplomas if applicable, tabular resume):

Wait up to 4 weeks for the Departmental Doctoral Committee’s decision upon admission.

Enroll as a doctoral student at the Service for Students of the Universität Hamburg within 3 months of the receipt of the letter of admission to the doctoral proceedings (cf. §70 (5) HmbHG, compulsory matriculation for the standard duration of the dissertation).

2. Submission of the dissertation and disputation (oral doctorate defense)

Registration for a dissertation on submission of the dissertation to the Academic Office Biology (Important information on dissertation!) (link to form) and registration for the oral doctorate defense (link to form) – all together. Please set a date for the oral doctorate defense with the parties involved (cf. registration form). The Academic Office will block it out as a provisional date for the oral doctorate defense.

Immediately following the oral doctorate defense, the Examination Commission makes decision on acceptance and rejection and grades the oral doctorate defense. The Examination Commission informs the candidate about the overall grade of the doctorate. The doctoral candidate can receive a preliminary certificate. However it does not authorize use of doctor title.

3. Publication and doctoral degree certificate

Procedure resolution and information on dissertation publication (§ 13 (2)) of the Doctoral Degree Regulations) (Resolution of the Faculty Doctoral Committee dated July 27, 2011)

"1) “Release of printed copy”

a) [...] Provided that the examination copy does not differ from the printed copy, the Chair of the Examination Commission signs the “release” on the day of oral doctorate defense.

If the printed copy shows differences from the examination copy, an indication will be made in the form.  The doctoral candidate must then obtain a release of the printed copy from the first evaluator and forward it to the Office of Student Affairs.

2) Along with all forms of publication as provided for in the information sheet, the doctoral candidate submits a copy of the dissertation to the evaluators of the dissertation, a copy to the Academic Office (for the examination file) as well as a copy to the Department library. The electronic publication of the dissertation (cf. 1. in the information sheet) is recommended by The Faculty Doctoral Committee. The submission of the deposit copies will then be acknowledged on a form.  After the completed form has been received by the Academic Office, the doctoral degree certificate can be issued. (The issue of the doctoral diploma can take up to 4 weeks).

3) Extension of the dissertation publication (cf. §13 (1)) - The Departmental Doctoral Committee or in the case of an authorization, the Chair of the Departmental Doctoral Committee can extend the publication deadline upon request by the doctoral candidate.

4) In the printed copies to be submitted, the print release (if it comes from the Office of Student Affairs) must be indicated after the title page, followed by the signed declaration on oath (text here).



The whole procedure is represented graphically as follows:

 


                                               

(1)   The supervisors are professors or „habilitierte“ members of the Department of Biology and/or external scientifically qualified persons, to whom the right to supervise doctoral procedures can be granted on application. In the case of supervisors who are not members of the Department of Biology please complete Form 1 and fill in the name of the second supervisor of the dissertation (member of the Department of Biology) under Part D in the field “Co-supervisor”.   

     (2)  For submission of the application for admission and of the access authorization for a doctorate below, i.e. diploma certificate or recognition of other degrees and qualifications.

     (3)   FOLLOWING the admission for a doctorate take the confirmation of the Office of Studies to the Service for Students. Enrollment as a doctoral student is mandatory in accordance with §5, paragraph 1 of the doctoral degree regulations and § 70, paragraph 5 of the Hamburgisches Hochschulgesetz
(HmbHG)

     (4)   Complete the form for the registration for the dissertation. The dissertation should be submitted at the Office of Studies of Biology: 5 printed copies of the dissertation and an electronic version (CD-Rom, PDF file) are to be provided by the doctoral student. Complete and hand in Form 6 to register for the oral doctorate defense.

     (5)   The acceptance of the dissertation and the scheduling of the oral doctorate defense – Attention! There must be at least 12 weeks between submission of the dissertation and the date of the oral doctorate defense.  (Work on shortening the procedure duration with a period of notice of eight weeks is in progress).

     (6)   The examination commission informs the doctoral candidate of the results. A preliminary doctoral diploma can be issued but it does not entitle the holder to use the academic title of Doctor of Science.

     (7)   Application for printing approval at the Office of Studies of Biology (Forms will be available soon).

     (8)   Diploma award

Work on the implementation provisions on the Doctoral degree regulations of the departmental doctoral committee is in progress.
